# AI literacy desk reference
Adapted from Appendices A–E of AI Literacy for All Employees by Laurence Lars Svekis (2026).

## A · Terms in practice
AI includes prediction, classification and generation. Machine learning learns patterns from data. A prompt supplies input and instructions. Bias can arise through data, design or deployment. Governance assigns policies, owners and review processes. Use the searchable glossary in the Studio for more terms.

## B · Before you use AI
- Define the task and decide whether AI assistance is suitable.
- Confirm the tool is approved for this particular use and data.
- Remove unnecessary information; confirm permission for what remains.
- Specify clear instructions and the intended output.
- Assign review for accuracy, relevance and potential bias.
Record evidence, an accountable owner and unresolved questions. A completed checklist is not authorization.

## C · A reusable prompt
Context: [relevant, permitted facts and sources]
Instructions: [specific task, constraints, what to do when evidence is missing]
Format: [structure, length and required fields]
Audience: [reader, prior knowledge and purpose]

Test the output against your requirements. Revise a specific weakness; do not treat a full template as proof of quality.

## D · Review an output
Accuracy: Which claims match independent evidence? Check numbers, quotations and references.
Completeness: What material requirements or limitations are missing?
Relevance: Does the output address this task and audience?
Bias: What perspectives, groups or assumptions need examination?
Human judgment: Who can approve, correct, reject or escalate it?
Record the source checked, finding, correction and reviewer. Repeated model agreement is not independent evidence.

## E · Responsible use
Fairness: Investigate representation and impacts; a simple rate is not a verdict.
Transparency: Explain material AI involvement and relevant limitations.
Accountability: Name the person or team responsible for review and outcomes.
Privacy: Minimize data and follow actual permission, access and retention requirements.
